1. Introduction
Axsy is committed to protecting the data of users of Axsy software and services. In doing so, Axsy ensures that its data protection measures are consistent with the latest data protection legislation, including the General Data Protection Regulation.
The purpose of this privacy notice and / or any updates to this privacy notice is to make you aware of the personal information that will be stored, controlled and processed by Axsy during your use of the Support Portal (the Portal). We encourage you to read the information below carefully.
2. Information Collected by Axsy
Authentication Data and User Data
In order to use the Portal, you or your administrator will be required to provide personal information for authentication purposes and to enable Axsy personnel to correspond with you. This information will consist of a username and password (Authentication Data) to create a Portal account for you and as well as your first name, last name and telephone number(s) (User Data).
If you want to update your Authentication Data or User Data, you may do so by accessing your profile information within the Portal.
Any Authentication Data and User Data will be deleted within 1 business day after you or your administrator advise us that you no longer wish to use the Portal or after a period of 12 months continuous inactivity.
You are the controller of your Authentication Data and User Data. Axsy is the processor of this data.
Support Tickets and Customer Data
When you raise a support ticket, we will record your username on the ticket to enable support staff to assist you. Within a support ticket, you may provide information relating to your customers, including contact information, such as email address, telephone number(s) and address (Customer Data). This information could identify a corporate entity or an individual contact within such corporate entity.
Support tickets will be stored for reference purposes by Axsy for up to 12 months. During this period Axsy will be the data controller and processor of this data.
3. Subcontractor
Axsy uses a third-party service provider to host the Portal service. However, the Portal service is managed by Axsy.
4. Use of Information
Every time you log into the Portal, your Authentication Data is authenticated to enable you to use the Portal. Your Authentication Data is protected by encryption techniques during the authentication process.
Your Authentication Data, User Data and Customer Data will be stored in the Portal and protected by encryption techniques. This data (except for your password) is accessible by Axsy support personnel for the sole purpose of providing support.
5. Information Sharing
Axsy will not disclose your data to any third party (i) other than a member of the Axsy group, any of its related parties or any relevant subcontractor to whom disclosure is necessary for the provision of the Portal to you; (ii) except if Axsy, acting reasonably, believes that disclosure is necessary to protect Axsy’s rights; or (iii) unless required in order to comply with a judicial proceeding, court order or legal process.
6. Data Transfer and Storage
Customers using the Support Portal that are based in the European Economic Area (EEA): Axsy will not transfer, store or process your data outside of the EEA. All data is stored within the EEA.
Customers using the Support Portal that are based in North America (NA): Axsy will not transfer, store or process your data outside of NA. All data is stored within NA.
7. Data Protection
The Portal provides security measures to help protect your data including: i) authenticated access; ii) encryption of data at rest; iii) software timeouts and; iv) restricting access to support data on a need-to-know basis.
You are responsible for protecting your Authentication Data and preventing access to the Portal while your computer / browser is unattended.

9. Contacting Axsy
You may contact Axsy by telephone, email or support ticket requests if: i) any of your information we store is inaccurate or out of date; ii) you have a complaint about the way Axsy stores, processes or controls your data or; iii) if you wish to make a subject matter access request regarding personal information stored by Axsy about you. 10. Objecting to Data Processing
If at any time you object to Axsy storing or processing your data, you or your administrator can contact Axsy via any of the methods described in section 8 above and request that your Portal account is deactivated. When your Portal account is deactivated, your Authentication Data and User Data will be deleted within 1 business day. If you have raised support tickets during your use of the Portal, any support tickets you raised will retain your username on them for a period of 12 months total after which time the support tickets and your username will be deleted.
